Privacy notice

Who we are

Vantage Linguists provides interpreting, translation and training services in Scotland. We are responsible for the personal data described here (the “controller” under UK GDPR). Contact us at [email protected] or on 07586 992700.

What we collect, and why

When you use the contact or quote form, or email or phone us, we collect the details you give us: your name, email address, phone number, organisation and what you need. We use them to reply to you, to prepare a quote, and to arrange and deliver a booking. Our lawful basis is to take steps at your request before a contract, and our legitimate interest in running the business.

If you book with us, we also hold the booking details we need, such as dates, locations and the language required. We ask you not to send sensitive details (for example health or legal information) through the form.

When you visit the website, Google Analytics counts how the site is used, and if you press Accept on the cookie banner Microsoft Clarity does too. Google Analytics runs on our legitimate interest in understanding how the site is used, and you can object at any time with Reject. Microsoft Clarity runs only on your consent, which you can withdraw at any time.

Cookies and tracking

A small banner offers Reject and Accept. It does not block the page. You can change your mind at any time with “Cookie settings” in the footer. Your answer is the one thing the site stores for its own sake, so it does not ask again. We do not use advertising cookies.

  • Google Analytics 4 counts visits and shows which pages are read, from what kind of device, and from which country. It is used only to improve this site, and it runs unless you press Reject or your browser sends Do Not Track or Global Privacy Control. It sets the cookies _ga and _ga_*, which last up to 2 years. We have switched off Google signals, ad personalisation and Google’s own use of this data, and we do not use it for advertising.
  • Microsoft Clarity shows us heatmaps and recordings of how pages are used, such as where people click and scroll. It runs only if you press Accept. It sets the cookies _clck (up to 1 year) and _clsk (1 day). The contact and quote forms are masked, so what you type is never recorded.

Reject removes both tools’ cookies and stops them.

Both providers process data in the US as well as elsewhere, under the safeguards UK law allows. Read Google’s privacy policy and Microsoft’s. We keep Google Analytics data for 14 months at most.

Who we share it with

We do not sell personal data. We share it only with people who help us deliver the service: the interpreter or translator assigned to your booking, and the service providers that run our website and email (for example our hosting provider and our email delivery provider). Google (Google Analytics) and Microsoft (Clarity) measure how the site is used: Google Analytics runs unless you reject it, and Clarity runs only if you accept. They process data on our instructions.

How long we keep it

We keep enquiry and booking records only as long as we need them to deal with your request, for our accounts and to meet legal duties, and then delete or anonymise them.

Your rights

You can ask us to see, correct or delete the personal data we hold about you, to restrict or object to how we use it, and to receive a copy. Email us and we will respond within one month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
